Orchestrating the AVCon 2013 Opening Ceremony (Part 3)

Well what a year, that’s all I can really say. Looking back I can gladly say that this event, the cast, the crew and everyone involved in between is something I will never forget as it was quite literally, a dream come true for me. With that said, here are some of my final thoughts…
Okay so if you actually physically attended the AVCon 2013 Opening Ceremony on the Friday night, you would of known we had quite a devastating end to the ceremony when part of our system at Front of House (FOH) crashed and ended the show pre-maturely. If you have watched the recording on YouTube or Vimeo (which if you haven’t then you’re doing it wrong, please go fix that now) then you wouldn’t have noticed this glitch as we utilized the power of production magic to fix it all up (Ehehe).. BUT (although I really don’t want to) let’s get technical in what actually happened.
To put it simply, during the final song of the finale, we lost power to the FOH area which runs all the timecode and vision (on-screen) systems. Now as I mentioned in my last blog post, timecode is what synchronizes all our production (Sound, Lighting & Media) together and makes sure everything is running on schedule and with the music. Now if something happens and we loose timecode, we loose that synchronization and everything stops – which is essentially what happened. Lets go FAQ…
So why did you loose power?
When the Adelaide Convention Centre (ACC) setup our working area at FOH, they were suppose to run all power off a 3-phase distribution board underneath the FOH desks, which would provide isolated power to all our different systems. We specifically asked for this by design so we could keep all power under control and safe from interference. However, unknown to us, they only put the sound mixing console on this power and ran another power cable (to run lighting, timecode & vision) from front of house and to the balcony above us and into a power point. In addition to this, the power cable wasn’t secured or taped down to the floor like it should have been. Long story short, someone in the crowd tripped over this cable, which pulled the plug from the socket causing the power loss.
Well why didn’t you have a backup or UPS?
Good question! It’s really a double-edged blade answer though. A lot of our systems, including sound and lighting did have backups on them as well as a UPS and it was for that reason why lighting didn’t go down when the blackout occurred. As for the vision & timecode systems (which also ran all the music tracks), we didn’t have a backup system in place as running live-tracking backups for systems like these are extremely complex and expensive.
So you’re saying it was the Adelaide Convention Centre’s fault?
The fact of the matter was we didn’t know about the rouge power lead, let alone it being a trip hazard, so it really shouldn’t of happened, it was just really unfortunate. We also know that it was an honest mistake by the ACC, which they were very apologetic about so we didn’t hold anything over them, they are still amazing at what they do and we couldn’t have pulled off the ceremony (or AVCon for that matter) without them.
I bet you were pretty devastated about it all?
Yeah well, that’s a bit of an understatement.. haha, I was absolutely gutted, as were the whole cast and crew behind the ceremony. I was still gutted about it for the next two days of AVCon until I realized there was really nothing anyone could have done and it was an honest mistake, so really I was getting a bit worked up over it more than I should have been. Stuff happens, so the only thing we can do now is learn from it so that we can prevent stuff like it happening again in the future. To be honest, I’m just glad the person who tripped on the cable wasn’t hurt and I hope they don’t feel bad about what happened – it wasn’t their fault (at all) either.
AnYwAyS moving on from that whole saga, a question I’ve been getting asked over and over again is about the music tracks that were used throughout the ceremony and for a music list.Well PLEASSSEEE PLEASE PLEASE STOP ASKINGGG!!! >.<
Those tracks are like our secret sauce, our secret recipe that has been passed down from generation to generation. It’s what makes the whole thing magical.. HOWEVER!! You have to please the fans so here is the list of tracks we used in accordance to the YouTube/Vimeo recording of the ceremony. Please note though that some of tracks you won’t be able to find as they were either composed by us or licensed to AVCon for use in the ceremony.

Hmm you know, if there has been one thing that has annoyed me during this all, or one thing that I haven’t liked very much throughout this whole experience, it would be people giving me the credit for this Opening Ceremony. While it’s true that I concepted and masterminded the whole thing, the work I put into this all compared to the colossal amount of work my team and the cast put in is no comparison.
They really deserve all the credit and glory for this production, as it was them who pulled it off. They literally (yes literally) spent over 100 hours (I did the math) in full on rehearsals every single week for over 3 months leading up to this event, which they all very kindly volunteered their time and effort into.
The AVCon 2013 Opening Ceremony was most definitely a team effort, which I could not have done without each and everyone of them, so a big THANK YOU to everyone who was involved. If it weren’t for you all, none of this would have been possible. <3
So what do we have in store for next year you may ask? Well I can tell you that we have indeed already started planning it already and it shall live up to (if not surpass) all your expectations of an AVCon ceremony. All I can say for now is that it will be a truly immersive experience (Chew on that leak!).
